Privacy Policy

This Privacy Policy explains how TradeInvoice.ca (“TradeInvoice.ca,” “we,” “us,” or “our”) collects, uses, and shares information when you use https://www.tradeinvoice.ca, our free tools, and our signed-in application (together, the “Service”).
We designed this policy for a Canadian trades product. We aim to follow the spirit of Canadian privacy expectations (including PIPEDA-style principles: clear purposes, limited use, and security). If you have questions, email support@tradeinvoice.ca.

1. Who we are
TradeInvoice.ca operates TradeInvoice.ca, a web application that helps tradespeople manage job documents (quotes, invoices, tool sheets), clients, jobs, and related free calculators and generators.

2. What this policy covers
This policy applies to:
- Our marketing website and free tools (calculators, quote/invoice generators) that may be used without an account
- Accounts and the dashboard (jobs, clients, documents, settings, billing)
- Public share links you create for documents or job photos
- Support and feedback messages you send us
It does not control how third parties (for example Stripe or Google, if analytics is enabled) use data under their own policies, except as we describe our use of those services below.
3. Information we collect
We collect information in these categories:
- Account data: email address, password (stored as a secure hash, not plain text), email verification status, and session information
- Business profile: business name, address, phone, email, GST/HST number, and document defaults you save in Settings
- Client and job data: client contact details, job names, notes, status, and related records you enter
- Documents: content of quotes, invoices, and tool sheets (including line items, totals, tax settings, and notes)
- Job photos: images you upload to a job, and any public photo-share link you enable
- Billing: subscription status and Stripe customer/subscription identifiers. Payment card details are processed by Stripe and are not stored in our database
- Support: feedback and help messages, and related email addresses
- Technical data: IP address, browser type, device information, pages viewed, and approximate usage metrics needed to run and secure the Service

4. How we use information
We use information to:
- Provide, maintain, and improve the Service (including jobs, documents, tools, sharing, and account features)
- Authenticate you, protect accounts, and prevent abuse or fraud
- Send transactional messages (for example verification codes, password reset, and important service notices)
- Process Premium subscriptions and billing via Stripe
- Respond to support and feedback
- Understand aggregate product usage (analytics) so we can fix issues and improve features
- Comply with law and enforce our Terms of Service
We do not sell your personal information.
5. Purposes and consent
We collect and use personal information for the purposes described in this policy, primarily to provide the Service you request (account, documents, billing, support).
Where consent is required, we rely on your actions—such as creating an account, submitting a form, or enabling a public share link—as indicating agreement to the related processing. You may withdraw consent where applicable by closing your account or contacting us, subject to legal or contractual limits (for example we may retain records needed for security or billing disputes).
8. Retention and account deletion
We retain account and job data while your account is active and as needed to provide the Service.
You may delete your account from Account settings (password confirmation required). When you delete your account, we remove or de-identify personal account data associated with the Service, subject to limited retention where we must keep records for security, fraud prevention, legal compliance, or backup systems for a short period.
Free plans are limited (for example up to 15 documents and 40 job photos). Limits do not change how we protect the data you store—they only cap how much you can add on Free.
9. Security
We use reasonable technical and organizational measures appropriate to a small SaaS product (for example hashed passwords, HTTPS, and access controls). No method of transmission or storage is 100% secure. You are responsible for keeping your password confidential and for content you choose to publish via share links.
10. Storage and international transfers
The Service is operated for users in Canada. Infrastructure and subprocessors may process data in Canada, the United States, or other countries where our providers operate. When data is processed outside Canada, it may be subject to the laws of those jurisdictions. We use reputable providers and limit transfers to what is needed to run the Service.
11. Children
The Service is intended for business use by adults. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will take appropriate steps.
12. Your rights and choices
Depending on applicable law, you may request access to, correction of, or deletion of personal information we hold about you. You can often update profile and business details in the app. For other requests, email support@tradeinvoice.ca. We may need to verify your identity before responding.
You may opt out of non-essential marketing emails if we send them (transactional messages about your account may still be sent).
13. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and change the “Last updated” date. Continued use of the Service after changes means you accept the updated policy, except where applicable law requires additional notice or consent.
